Vendor Agreement

1. Participation & Communication

Vendors agree to review and follow all event communications, including setup instructions and updates. Staying informed is essential to ensure smooth operations. Failure to comply may result in denial of entry or future participation.

2. Setup & Space Assignments

Market setup and space assignments may change at the organizer's discretion.

Vendors must follow all load-in directions and be fully set up by the event start time.

Late arrivals may be denied participation without refund or reschedule.

3. Breakdown Policy

Vendors may not begin breakdown before the official event end time. Early breakdowns negatively impact the event experience and may result in removal from future events.

4. Equipment & Safety

Vendors are responsible for providing their own tents, tables, and equipment.

Minimum required tent weights: 50 lbs per leg (200 lbs total).

All structures must be secure and compliant with local safety standards.

5. Approved Products

• Vendors may sell only products approved by the organizer.
• Adding new items requires prior written approval.
• Only original producers and artisans are permitted; resale or brokering is not allowed unless specifically authorized.

6. Power & Utilities

• Organizers may or may not provide electricity. Vendors requiring power must bring their own generators or obtain written approval for on-site power use.
• Generators must be quiet and placed in a location approved by event staff.

7. Space & Setup Requirements

• Space dimensions will be specified before each event.
• Requests for additional space must be made in advance and approved in writing.

8. Insurance

Vendor insurance is not required, but it is recommended. Vendors participate at their own risk and are responsible for their property, equipment, and products during the event. The organizer is not liable for loss, theft, damage, or injury arising from participation.

9. Food Vendors & Health Compliance

• All food vendors must obtain the required permits from local health authorities before participating.
• Vendors must comply with all food safety regulations and maintain valid permits for each municipality where events occur.

10. Local Requirements

Municipal permits, licenses, or inspection forms may vary by location. Vendors are responsible for obtaining and maintaining all required documentation before participating.

11. Code of Conduct

Vendors agree to maintain a professional and respectful presence toward staff, customers, and fellow vendors. Organizers reserve the right to remove any vendor for disruptive or unsafe behavior.

Vendors are required to comply with all cancellation policies and must notify market staff via the designated text number prior to the start of the event if they are unable to attend. Failure to provide timely notice may result in immediate and permanent removal from all Fresh Markets events, without refund, credit, or transfer of any purchased dates.

12. Organizer Rights

Organizers reserve the right to:

• Reassign spaces or adjust layouts.
• Cancel or reschedule events due to weather or unforeseen circumstances.
• Deny participation to vendors who violate these terms.

Acknowledgment

By applying or participating, the vendor agrees to abide by these terms and any additional rules communicated by the event organizer.

Cancellation & Refund Policy

Cancelations within 24 hours: Vendors are required to comply with all cancellation policies and must notify market staff via the designated text number prior to the start of the event if they are unable to attend. Failure to provide timely notice may result in immediate and permanent removal from all Fresh Markets events, without refund, credit, or transfer of any purchased dates.

1. How Cancellations and Credits Work

• Vendors cancel through the vendor dashboard: https://convene.markets/dashboard
• After cancellation, the applicable rebooking fee is assessed and the remaining balance is issued as account credit.
• Credits auto-apply to the next invoice for any event on the platform.
• Credits expire at the end of the calendar year. Unused credits are forfeited.

• "Date change" includes moving a booked single date or adjusting a seasonal schedule.
• Refunds after 24 hours from purchase are not available for any reason.

3. Seasonal and Monthly Vendors

No refunds, credits, or date changes for missed dates or cancellations on seasonal or monthly plans.

4. Rain Dates

If an event has a pre-scheduled rain date and the vendor cannot attend, no refunds or credits are issued for that rain date.

5. Same-Day and On-Site Communication

For cancellations within 24 hours of the event, vendors must text or call 732-481-4691 with vendor name, business name, and the date(s) to cancel.

On-site managers may not monitor email during events. Use phone/text for urgent updates.

6. Enforcement

• Vendors who do not follow this policy may be denied future bookings.
• Multiple no-shows may result in cancellation of upcoming dates without refund or credit.

Vendor Code of Conduct

Purpose

This Code of Conduct exists to ensure a positive, respectful, and professional environment for everyone involved. Vendors are expected to act courteously toward customers, fellow vendors, and event staff. The goal is to create a thriving marketplace experience that benefits both vendors and shoppers through cooperation and mutual respect.

Vendor Expectations

As a participating vendor, I agree to:

• Follow all event rules and guidelines provided by the event organizer or marketplace.
• Act with honesty and integrity in all business interactions.
• Treat everyone with respect. Bullying, gossip, rude, aggressive, uncooperative, or disrespectful behavior toward anyone at the event will not be tolerated.
• Avoid deceptive or exploitative practices, including misrepresenting products or event details.
• Begin breakdown and pack-up only after the official event closing time, unless specifically authorized by event management.

Issue Resolution

Vendors are encouraged to communicate directly and privately with event organizers or staff regarding any concerns or conflicts that arise during events.

Compliance

Compliance with this Code of Conduct is mandatory. Vendors who violate the code or engage in inappropriate behavior may be removed from events or denied future participation without refund.

Acknowledgment

By applying for, booking, or participating in events, vendors acknowledge and agree to follow this Code of Conduct, the applicable Vendor Guidelines, and the Cancellation & Refund Policy.

For cancellations within 24 hours of a market date please text us at732-481-4691 with your name, business name and date/dates you need to cancel.Market Managers DO NOT receive emails when they are on site.Vendors who do not adhere to our cancellation policy, will not be booked for future dates.Please add this phone number to your contacts to avoid this outcome.

Please be aware that all of our markets are held RAIN OR SHINE! We cannot offer rescheduling or refunds for last-minute cancellations.

Vendors should use the second entrance on Rues Rd. If you reach the handicap entrance, you've gone too far. YOU WILL SEE: ASBURY A FRAME AT CORRECT ENTRANCE. IF YOU DO NOT SEE A FRAME, DO NOT ENTER. Proceed slowly down the gravel road, and when you reach the gate, look to your left for parking. Please park in rows 20 or 21 and unload your vehicle. The market site is approximately 350 feet from the parking lot. It's highly recommended to have a hand truck or cart to assist with loading and setup. There will be a Fresh Team member at gate to check you in and direct you to the site.

Load-In & Setup

Vendor load in:
Load in begins 6:30 AM SHARP
Please do not attempt to enter the farm until 6:30 AM

Load in is between 6:30AM -7:30AM.  Late arrivals will not be refunded/rescheduled and will not be allowed entry.

It is essential that vendor setups are fully completed by the market's starting time, which is 9:00 AM.

All staff members must be present for load in and will receive a lanyard. Which will allow you to leave the site if needed. Any employee/vendors arriving after 7:30AM will have to purchase a ticket to enter the farm.

Important Reminder: 

We're situated in the middle of an open field, so expect wind even on clear days. If you don't secure your tent with stakes and appropriate weights, you'll be required to leave without a refund. Thousands of event attendees and other vendors could be endangered by a tent that is not properly secured.


Break Down at the End of the Day

Early breakdown is not permitted. Breakdown starts at 5pm, and you must be fully packed and ready to leave by 6pm. We aim to minimize the duration their staff need to remain on-site. Please be mindful of the time and ensure a swift departure.

Holland Ridge is a gorgeous farm & the Fresh Family is lucky to be invited to their venue. Please be respectful of the grounds and be sure to remove any trash in your area as you are loading out.  DO NOT stuff their trash cans with broken down cardboard etc.. there are dumpsters in the parking lot if needed.

It’s a long day, we get it. But if you ever find yourself tired or bored, take some time to walk around and meet your fellow vendors! You never know what kind of connections or friendships you’ll make here. At Fresh Markets — it’s all about community!

Dude, where’s my space?

A market manager will be waiting to show you to your space.

How big is my space?

10x10 is max tent size (unless special arrangements have been made with the market manager). If your setup requires additional space, please contact us and we will attempt to make it happen.

All vendors are responsible for bringing entire set up.
It doesn’t matter what the weather is…Weights are not optional; they are a requirement. Failure to follow these safety measures will result in being asked to leave the event without a refund. This strict protocol is in place to safeguard not only yourselves but also your fellow vendors and the attendees. It cannot be stressed enough: Rouge winds pop up without explanation. You should have at LEAST 200 pounds of weight on your tent. If you can do more, we would encourage it. If you have a heavy cart we would suggest using a bungee to attach it to your tent to help keep your set up on the ground.

We care about your well-being and want you to have an enjoyable day at the event. That's why we're being persistent in emphasizing these guidelines.
                                     
Where’s the bathrooms?🚽

The bathrooms are very close to the market site. Please ask a team member to point them out to you.

Making Sales💰

Creating a well-balanced market is a very delicate task, and it’s one we take seriously! You may only sell what you have been pre-approved to sell.
We want to alert vendors that they may need to resort to offline payment methods. We strongly advise you to set up alternative payment systems and test it out before arriving at the farm. Additionally, ensure you have sufficient cash on hand to provide change for large bills throughout the day. Please keep in mind that there is no electricity available so please make sure your devices are fully charged or plan on bringing a portable charger with you to the venue.

If you’re looking to sell new items that were not initially included on your application, email team@asburyfresh.com AT LEAST TWO DAYS BEFORE to see about getting approval on your new products. Without explicit permission, we can’t allow you to sell any new items. If we find out that’s been happening, you may be asked to leave! 😬

RANDOM TIPS

Wear appropriate shoes and layer up!

Food trucks will be available on-site, but there might not be enough time to walk to them and wait in line. It's advisable to bring some backup snacks and water with you!
We can't stress this point enough: Make sure your stakes and weights are top-notch. And if you think you're all set, well, bring some extra just for good measure.

 At the bottom of the page you will see Forms.  There is an application for temporary license.  Also if you are cooking any food you will need a file prevention form filed and your truck inspected.  You will find that form  one the fire official page. 

Appropriate checks and applications will have to be dropped off at the municipal building prior to your market date.
